Privacy Policy

This Privacy Policy explains how ArivioPayRoll collects, uses, discloses and safeguards personal information in accordance with the Protection of Personal Information Act, 2013 (POPIA). It applies to our customers and to the employee data they process through the Service.
1. Who we are
ArivioPayRoll is the responsible party for personal information we collect about our customers, and an operator (processor) in respect of employee payroll data that customers upload and control.
2. Information we collect
- Account data: name, email, business details, billing information.
- Employee payroll data: names, ID numbers, tax numbers, bank account details, salaries, leave and related records uploaded by customers.
- Usage data: log data, device and browser information, and how you interact with the Service.
3. How we use information
We process personal information to:
- Provide, secure and improve the Service and process payroll.
- Generate payslips, statutory reports and bank payment files.
- Bill for the Service and provide customer support.
- Comply with legal obligations and prevent fraud or misuse.
4. Lawful basis and consent
We process personal information where it is necessary to perform our contract with you, to comply with a legal obligation, to pursue our legitimate interests, or with consent. Customers are responsible for ensuring they have a lawful basis to share their employees' personal information with us.
5. Sharing and sub-processors
We do not sell personal information. We share it only with trusted sub-processors (such as cloud hosting and email delivery providers) under contracts that require appropriate safeguards, or where required by law.
6. Security
We apply technical and organisational measures including encryption in transit, access controls and role-based permissions to protect personal information. No system is completely secure, and you are responsible for protecting your own login credentials.
7. Data retention
We retain personal information for as long as your account is active and as required to meet legal, tax and accounting obligations. On termination, data may be exported for a reasonable period before secure deletion.
8. Your POPIA rights
Subject to applicable law, you may:
- Request access to the personal information we hold about you.
- Request correction or deletion of inaccurate or unnecessary information.
- Object to certain processing.
- Lodge a complaint with the Information Regulator of South Africa.
