Refund & Cancellation Policy

Effective: 8 June 2026

This policy explains how billing, cancellations and refunds work for ArivioPayRoll subscriptions. It should be read together with our Terms of Service.

1. Free trial

New customers may use the Service free for the advertised trial period. You will not be charged during the trial, and you can cancel before it ends without any obligation. If you do not cancel, your subscription begins automatically at the end of the trial.

2. Billing

Subscriptions are billed in advance on a recurring monthly or annual basis, depending on the plan you choose. Per-employee charges are based on active employees included in a finalised pay run for the relevant month. All prices are in ZAR and exclude VAT unless stated otherwise.

3. Cancellation

You may cancel your subscription at any time from your account settings or by contacting support. Cancellation stops future renewals. Your subscription remains active until the end of the current billing period, after which access to paid features ends.

4. Refunds

Because the Service is a digital subscription that is available immediately, fees already paid for the current billing period are generally non-refundable, except where required by law.

We will, however, consider refunds in the following circumstances:

  • A confirmed billing error or duplicate charge.
  • A prolonged service outage materially attributable to us (see our Service Level Agreement).
  • Where a refund is required under the Consumer Protection Act or other applicable South African law.

Approved refunds are made to the original payment method within a reasonable time. Annual plans cancelled mid-term are not pro-rated unless a refund is required by law.

5. Price changes

We may change our prices on reasonable notice. Changes take effect from your next billing cycle and never apply retroactively to a period already paid.

6. How to request a refund

To request a refund or raise a billing query, email billing@ariviopayroll.co.za with your account details and a description of the issue. We aim to respond within 5 business days.
